EEF has an exciting opportunity to join us as a Conference Coordinator / Conference Delegate Liaison, based from our offices in Central London and working on a 9-month fixed term contract basis, with the potential for a permanent position.

 

As Conference Delegate Liaison you will be responsible for the day to day coordination of EEF’s flagship annual conference promotions, data, and registration processes. Your focus will be delegate management, with responsibility for managing and reporting on the delegate database. You will be the central point for conference enquiries, organising and coordinating internal meetings and liaising with internal and external customers and membership colleagues.

 

You will be a confident positive-minded individual and will enjoy the challenge of responsibility. The role will be well suited to you if you have experience in managing databases and in project coordination. You will need to enjoy multi-tasking, have an eye for detail and be able to meet deadlines.

Key responsibilities:

  • To manage the database for tracking conference bookings. (EEF uses Microsoft Dynamics CRM, and Eventbrite.)
  • To be the central point of contact for all conference related enquiries
  • Schedule and administer internal team meetings, ensure reports and documents are up-to-date, and actions are making progress
  • Produce Excel-based reports for delegate and database activity, to enable analysis of performance
  • Prepare on-site documentation for the conference
  • Coordinate with external suppliers for the conference
  • Coordinate ‘Conference Advocates Programme’ - organising weekly conference calls with the regional team contacts and supplying resources to assist in promotion of the programme
  • Assist the marketing department in the web, digital, PR, and direct marketing plans
  • Support with the EEF National Conference App. This includes assisting the marketing department in developing the design and layout of the app, as well as management of content and delegate download of the app.
  • Manage the conference evaluation process
  • Raise PO’s and process conference related costs

 

Key qualifications, skills and experience:

  • Excellent organisational and project management skills
  • Excellent communication and people skills (face to face, written and via telephone)
  • Strong database management skills, Microsoft Dynamics and EventBrite experience would be beneficial
  • Experienced in working with data; ability to accurately retrieve information and reports in a timely manner
  • Excellent administration skills, especially Excel and Microsoft Word
  • A high degree of attention to detail
  • Creative problem-solving ability
  • Confident numerical skills
  • The ability to multi-task, work under pressure and meet strict deadlines
  • The ability to work as part of a team and also on your own initiative
  • Be proactive and self-motivated
